I'm in the e-Pro course and want to get Outlook on all my computers (home office/work office and laptop). But I understand that when you open an email in Outlook it is saved to only that workstation. Does anyone know of software to remedy this? I currently use Longnet.net offered through my broker.

Thanks,

Rhonda Ledbetter, CRS

Hi Rhonda,

If you want to access the same email on multiple computers using Outlook, you just have to change a setting on each computer.

In Outlook, go to Tools, Email Accounts...
In the E-mail Accounts window, choose View or change existing e-mail accounts, and click the Next button.
Choose the account in the list and click the Change button.
Now click the More Settings button.
Now go to the Advanced tab. See below image. In the Delivery section as seen below, put checks in both boxes and choose the number of days you want your data left on the server. This will allow more than one computer to see the same email. This also includes your smart phones and PDA's you might be using to access your email account. I usually choose a number between 5 and 10 days.

Close all the windows when you finish. Everything should be working.

Hope this helps!

Rhonda,
I love Outlook, but prefer keeping e-mail on the web so the messages continue to be accessible from all our computers, as you mentioned. After talking to the company techies, I decided to continue with web e-mail, i.e., NOT having messages actually on my computer, but remaining on the web.
I can still utilize many other features of Outlook like the contact list, notes, calendar, reminders, and tons more features.
My major challenge is sending messages to my Outlook file after a transaction closes. I haven't learned how to do that yet; don't know if it's possible.
I'm guessing some our colleagues will read this and come to our rescue.
Many thanks.

I'm not sure where to find the exact steps in MS Outlook, but you can select the option to leave messages on the Server for X number of days.
We use 4 computers at 4 different locations and we select the option to leave the emails on server for X number of days. The practical effect is I could read and delete an email on Computer # 1, go to Computer # 2 and read and delete the same email, and also at Computer # 3 & 4.
So all your team members can get the same email, one person may read and delete and the other may choose to save.
Do a Google or Microsoft.com search for specific instructions or if you have a MS technician, I'm sure they can tell you how to set it up.

Larry was correct on his suggestion on changing the Outlook settings to leave a copy on the server, however that will not provide true email sync across all machines. If you want ALL your PC's, phones, etc to sync then you will need a service like www.mailsync.com; I use them and they can host your domain if you own your own email. For $99 a year you CAN NOT beat the services. I use the iPhone and all changes made anywhere sync within seconds across all devices. Also, if you decide you want full versions of Outlook, I think they offer them discounted at like $50 per machine.

They even offer a online version of Outlook 2007 that works just like the one you pay $100 for on each machine.

Good luck!

Rhonda et al;

Rhonda, it is not a software solution as much as a hosted Exchange solution. Go to www.link2exchange.com and sign up, you can use your own domain name..

Once configured, you'll have Outlook synchronized on any/all of the pc's configured to do so. In addition, you'll get outlook Web Access too in case you do not have access to your physical pc, just open any browser and get your info..

Call or email with questions and type in Peritus IT in the promo code box and get the set up fee waived..

Sincerely,

RC Fullerton

One way around this is to have an ISP that keeps all e-mails on their server. For instance I have all my various e-mail addresses forwarded to my MSN account and they all stay on the MSN server until I delete them. Outlook downloads all those other e-mails to one computer but by having copies of all them on MSN, I am able to access all of them on my other 2 computers and even with someone else's computer by going to my MSN/Hotmails account.

You need to decide which will be your main computer and on the other go to the advanced tab and click on leave mail on server. That way you will download the email only to your main computer and delete them from the server at that time.

I use an Exchange server on the web. Very economical and able to be accessed from most anywhere.

Thank you,

Duke
